[CentOS-promo] FrOSCon: Information and Request

Hello Everybody,

I've got a request and information e-mail from FrOSCon. I also included 
the German original text (see below).

- I need a complete List of everybody from CentOS taking part in 
FrOSCon. So please tell me:
* Your full name
* A way for me to contact you
* Whether you're already registered as speaker or helper.
* If you want to stay at Hotel Regina or my apartment

- We need to decide when we so the setup (Friday or Saturday)

- We need to decide wheter we want an internal meeting

- We need to decide what to announce in CentOS-de. Either a "call for 
visitors" or a "call for helpers". I guess Ralph is able to decide that, 
because he is quite active there...

Please note: we must not teardown the booth before 18:00 on Sunday

All decisions should be done until August 1st, because we have to inform 
FrOSCon in time.
The detailed planning can, of course, be done afterwards.

Concerning the internal meeting, I think at least Dag and me agreed that 
it is not a good idea to do things like that during an event. However, 
we still can do them in the evening (see http://tinyurl.com/6ej3ea). 
When we decide to do such a meeting and we know how many people will 
take part, I'll try to find a place that can fulfill our/my requirements.

As we should probably write all this down in the Wiki: Could somebody 
please give me write-access to /Events/FrOSCon2008?




The longer version (please read this if you're willing to take part and 
can spare the time):

1. Accomodation
It is possible to Stay in Hotel Regina. The rooms can be booked through 
FrOSCon (just ask me).
Rates for bed and breakfast:
30 € per night for your own room
20 € per night for room shared with somebody
These prices only apply for Friday and Saturday and have to be payed in 
cash at FrOSCon.
On Friday the hotel offers food from 20:30 till 23:30. If anyone is 
interested, just tell me.

The Debianforum also has a quite cheap camping ground near FrOSCon. If 
anyone is interested I'll have a look

After all, I can offer my apartment for a few people (if there are more 
than two people, rooms must be shared). This year
we even have a shower, a kitchen and free WiFi :)
So I can provide food, accomodation and internet access at no cost.


2. Catering
For all exhibitors, speakers and helpers there's a buffet on Saturday 
and Sunday from 09:30 to 17:00 and there's lunch
from 11:00 to 13:00 on both days.
There are also free drinks. However, as the food they must not be taken 
out of the catering area. For everyone wanting food and drink
at the booth, there is a "bar" where drinks can be purchased.


3. Exhibitor ID-Cards
Every Exhibitor needs an ID-Card. For these I need the Full Name and a 
way to contact you (i.e. mail-address and/or phone number).
Last year there were issues with people who were not not on the list 
(like me). This year everybody not on the list will have to pay
the entry fee and will not be able to access the catering-area.
The FrOSCon Deadline is August 7th.

Please note that people who are already speakers do *not* need these 
Cards. Also we were told not to order too many cards,
because every cards has additional cost attached for FrOSCon (e.g. 
catering).


4. Setup and Teardown
Setup can be done on Friday from 12:00 to 23:00. I guess we'll have to 
discuss if and when we want to do the setup. Othwise we can do the setup 
on Saturday morning.

Teardown of the booth must not be done before 18:00 on Sunday. FrOSCon 
sais it was displeasing that so many projects teared down their boothes 
quite early. So they require us to stay until 18:00 or we won't get a 
booth next year.


5. Linking to FrOSCon.de and FrOSCon.org
We're asked to check the links and texts on 
http://www.froscon.de/projekte.html (and the english page). We should 
also try to describe what we're going to do or show at FrOSCon.


6. Social Event
Of course there's a social event on Saturday evening.

mit dieser E-Mail möchte ich Euch ein paar wichtige Information für die
FrOSCon 2008 an die Hand geben.

1. Übernachtungen
Wie im letztem Jahr war es uns diesmal wieder möglich das Hotel - Regina
zu mieten. Das bedeutet konkret, dass ihr über uns ein Zimmer buchen
könnt. Die Zimmer werden wieder von uns subventioniert.
Die Preise sind wie folgt und inkl. Frühstück:
30 Euro pro Nacht, wenn ihr ein Einzelzimmer haben möchtet
20 Euro pro Nacht, wenn ihr bereit seid, in einem Doppelzimmer zu
übernachten und Euch das Zimmer mit jemandem teilt.
Die Preise gelten für Übernachtungen am Freitag und Samstag.

Das Geld ist in Bar auf der FrOSCon abzugeben, dort bekommt ihr auch
eure Eintrittskarten.

Essen und Anreise am Freitag. Das Hotel hat uns angeboten am Freitag
Abend von 20:30 bis 23:30 Uhr Abendessen nach Tageskarte anzubieten. Um
die Planung zu vereinfachen, wäre es schön, wenn ihr uns kurz eine
Rückmeldung gebt, wer das nutzen möchte.

Ebenfalls hat das Debianforum einen sehr günstigen Campingplatz in der
Nähe der FrOSCon aufgetan. Wem das gefällt, kann hier mal schauen.

2. Verpflegung während der Konferenz
Für alle Aussteller, Speaker und Helfer bieten wir in diesem Jahr wieder
Verpflegung an. Die Verpflegung sieht wie folgt aus:
- Sa. und So. von ca. 09:30 bis 17:00 belegte Brötchen und andere Snacks.
- Sa. und So. von ca. 11:00 bis 13:00 Uhr gibt es warmes Essen.
Wir werden auch wieder Essen für Vegetarier zur Verfügung stellen.

Zusätzlich zum Essen gibt es wieder Getränke (Schorlen, Wasser etc.).
Das Essen und auch die Getränke dürfen nur im vorgesehen Raum verzehrt
werden. Für die, die am Stand trinken möchten, haben wir wieder unseren
Verkaufstand, an dem ihr günstig Getränke erwerben könnt.

Um an der Verpflegung teilnehmen zu können, benötigt ihr
Ausstellerausweise. Diese bekommt ihr selbstverständlich kostenlos von uns.

3. Ausstellerausweise
Damit wir Ausstellerausweise zur Verfügung stellen können, benötigen
wir, bis spätestens zum 07.08., von jedem Aussteller eine vollständige
Liste, mit Vor- und Nachname, von jeder Person, die einen
Ausstellerausweis haben möchte.
Da wir im letzten Jahr einige Problem mit Leuten hatten, die der Meinung
waren, sie müssten auf einer Ausstellerliste stehen, bitte ich Euch
darauf zu achten, das wir eure E-Mail bestätigen. Am besten bringt auch
jeder die E-Mail mit. Wir könnten uns ja auch vertun.
Sollte jemand berechtigter Weise nicht auf der Liste stehen, muss er
Eintritt bezahlen. Wir verbuchen das dann unter "Spende wegen
Verpeilungsfaktor".
Da uns ein Ausstellerausweis wegen der Verpflegung viel Geld kostet,
bitten wir die Verantwortlichen bewusst mit der Verteilung der Tickets
umzugehen.
Sollten einzelne bereits Speaker, Medienpartner, Helfer etc. sein,
benötigen wir den Namen nicht mehr.

4. Auf- und Abbau
Der Aufbau ist Freitags von 12:00 Uhr bis 23:00 Uhr möglich. Bitte teilt
uns mit, wenn ihr schon Freitags aufbauen möchtet und wann wir in etwa
mit Euch rechnen können.
Der Abbau ist am Sonntag erst nach Ende der Konferenz so gegen 18:00 Uhr
möglich! Wer vorher abbaut, wird nächstes Jahr nicht mehr als Aussteller
genommen. Im letztem Jahr war es sehr unangenehm, dass so viele so früh
abgebaut haben.

Bitte versucht im dem Text doch unterzubringen, was ihr bei uns machen
werdet bzw. spezielles zeigt.

6. Social-Event
In diesem Jahr wird es Samstags Abends wieder ein Social Event geben, zu
dem ihr selbstverständlich herzlich eingeladen seid.

Es währe schön, wenn jedes Projekt nur eine E-Mail an uns schickt, in
dieser sollte dann alles gesammelt stehen. Das spart uns Zeit, von der
wir nicht genug haben.

Bezüglich der Namensliste könnt ihr Euch ruhig bis zum 07.08. zeit
lassen. Ihr werdet kurz vorher auch nochmal eine Erinnerungs-E-Mail
erhalten.

Wer allgemeine Infos rund um die Konferenz haben möchte, kann sich gerne
in unseren Newsletter eintragen, dort werden auch in Kürze unsere
Keynote Speaker bekannt gegeben.
