You can set up a tunnel in putty and use vnc. You could also use nomachine/freenx if you're going this route. One other suggestion (though it's a fair amount of work) would be to set up a groupware suite like open-xchange. This would combine the earlier suggestions of using ldap/database support with your goal of a web portal. You don't have to have your ldap servers publicly available, just within reach of the OX server, which can serve up the information via authenticated webpage.
