In January of 2021, the CentOS Board of Directors opened our monthly meetings to all SIG chairs, in a first step towards more transparent governance. We wanted to see how the larger audience changed the meeting dynamics, if at all, as well as welcoming a broader pool of voices.
We are now ready for the second part of this process. Starting in the August meeting, we will be inviting the entire CentOS community to attend these meetings.
Due to the nature of the Internet, we won’t be simply publishing the meeting URL, as this often leads to disruptive behavior in meetings, as I am sure many of you have experienced.
Rather, in the week before the meeting, we’ll send, to this list, a way to request an invitation to the meeting. In this way, we hope to limit the incidence of such disruptions, while also making the meeting available to anyone who wishes to attend.
We will be working on the rules of engagement for these meetings, but they will be, at minimum:
* Wait to be recognized by the Chair before speaking * Respect the Chair when told your time to speak is over - this will allow us to remain on agenda, and complete the meetings in the allotted time * In the event that there are Board-confidential topics, these will be put at the end of the meeting, in Executive Session, and guests will be asked to leave. We hope to minimize these items, but they do sometimes happen. The most common scenarios in which this may happen are personnel issues, or information that Red Hat wishes to share with the Board, but is not yet public. * Muting of participants, or, in extreme situations, ejection from the meeting, is at the sole discretion of the Chair. * Meetings will be recorded, and published to YouTube (possibly with edits/redactions, as approved by the Directors). Thus, by joining the meeting you consent to have your presence at the meeting, and anything you say during the meeting, made public.
Because there will seldom be time for Q&A during the meeting itself, we plan to add a post-meeting IRC office hours session for followup questions. This will probably be scheduled for a week after the board meeting, to allow time to publish meeting minutes
We welcome your comments about the above proposal, and thank you all for your patience as we implement these changes to our governance process.

All theses points seem interesting and fair, we have merely adopted the same rules and behavior for our university.

Yes, we are trying to get a recording.
If everything is going according to plan we will publish it in the next days.

24 hours notice was too little time to see the notice and plan to attend. Some of us have day jobs: 48 or 72 hours advance notice would have been very helpful. An invitation process that requires registration by personal email and personal invitations also does not sound like an invitation to the community and leaves no opportunity for anonymous attendance, only post-meeting minutes or recordings that may be redacted without notice. If a redaction is needed, a specific notice that "we cut the mike for someone's medical privacy, they're fine now!" would help reassure us that the *really good stuff* is not getting snipped. There were times in my career when that need to cut the mike was for *me*, so I can sympathize.
A link to the previous meeting's agenda and especially to the previous meeting's minutes would be especially welcome. Might those be available?

Hi Nico,
Thank you for your feedback.
24 hours notice was too little time to see the notice and plan to attend. Some of us have day jobs: 48 or 72 hours advance notice would have been very helpful.
Duly noted, Yes and it's because we put in place all the new tools (hackmd, Zoom) and it's the holiday period. It's our first time with this format so please be understanding :)
The target for next time is to announce one week in advance (1st Wed of the Month).
An invitation process that requires registration by personal email and personal invitations also does not sound like an invitation to the community and leaves no opportunity for anonymous attendance, only post-meeting minutes or recordings that may be redacted without notice. We will make it very clear if the video is edited !
The anonymous attendance discussion should happen on this list.
My opinion if the community really want it and the tools allow it, we can try to live stream the meeting. Would it be ok as a "read-only" way to attend ?
Please also keep in mind, that we don't have unlimited resources to organize a 1 hour Monthly meeting.
A link to the previous meeting's agenda and especially to the previous meeting's minutes would be especially welcome. Might those be available?
From now on, yes, everything will be published in hackmd.io or on the blog post. Links can be found in the Agenda for previous minutes.
For previous agenda, I don't see a lot of value to rewrite them in md from the old .doc files.
In the future they will be organized by tags in hackmd, for easy access.

Agreed. We were still figuring out the tooling (ie, registering the Zoom account and so on) yesterday. Next time, we plan to have more warning. We appreciate your patience as we work this out.
Meanwhile, please do note that the board meeting is at the same time of day, on the second Wednesday of the month, next month, and has been at this time/date for the past several years. So if you want to block out that time for next month, here's your advance warning.

We went this way in order to avoid the situation where random Internet trolls join and disrupt the meeting. That is what happened a couple of months ago when I posted the URL for a meeting publicly (on Twitter). We had people disrupting the entire time, playing loud music, shouting profanity, and so on. We'd prefer to avoid that.
If you have alternate solutions to propose, please do let us know.

All of the past meeting minutes that I have access to are posted here: https://git.centos.org/centos/board/blob/master/f/meetings

We also post the minutes from each meeting to the blog - https://blog.centos.org/category/board-minutes/ - typically within a week of the meeting.

Hey folks,
apologies for the mishap with today's meeting. We weren't able to get the Zoom meeting to work properly so we had to move to another one at the last minute. The meeting was recorded and will be posted on Youtube asap. If you wanted to attend and were unable to, I'd encourage you to watch the recording once it's available and join us for office hours next week with any questions or topics for discussion.
We will do our best to get this sorted out for the next meeting so hopefully that'll go more smoothly.
Cheers Davide

* Meetings will be recorded, and published to YouTube (possibly with edits/redaction, as approved by the Directors). Thus, by joining the meeting you consent to have your presence at the meeting, and anything you say during the meeting, made public.
I hope some of you can join. thanks,
