Hi, Yesterday I've picked up the gear from Frederik (LCD + system) and realised that we used Fabian's IBM system for the 3D stuff. According to Frederik the video card in his small system does not have 3D capabilities ! Not sure if we can solve this. Anyone has a small system they can bring ? Furthermore, I have been looking for flyer-holders and business-card holders and after doing 6 stores found one that actually had something that could be used. It's vaguely what I had in mind. I bought three of these and 2 business card holders for the total amount of 56 Euros. I'd still like to buy the holders I have in mind (eg. that can hold more than 1 flyer) but this is good enough for LinuxTag. The business cards worked out fine. Since I was in a time-rush I could discuss the layout publically (I made them at 2h at night so that they could be printed the very next day. I hope people like them and I'm interested to hear from everyone how to improve them for next event. I printed 250 in full color for 19 Euros. Social event tickets

Hi all, I ordered 9 tickets for the social event. Because of overbookings for the cheaper (15 Euro) tickets the organisation didn't validate all pre-orders. But our project got all of the 9 tickets we asked for ! If for some reason we need more tickets for our booth, I would propose to buy more 25 Euro tickets and take the average so everybody can enjoy some reduction. Hi all, Later than expected, here are the meeting-minutes of yesterday's LinuxTag meeting. Let me know if something is unclear or if I have the responsiblities wrong. Hi all, It may be possible (still) to order a new batch of quality shirts with the CentOS logo and your name. Storage Space Where possible we tried to integrate coops (Germans would say Kabüffchen as a diminutive [1] of Kabuff) at the booths. We urge projects to share this space with other close-by projects. The overall plans of the halls tell you that there will be storage rooms (read "Lager" in the plan) available for all projects. We will assign few keys to persons who will be in charge for access for these rooms. Additionally there will be a wardrobe where all of you can deposit coats, luggage and stuff like that without cost. Please ask all your booth colleagues to store their private stuff there. 3. Packing List "My name is Open Events Foundation, and in my suitcase I pack..." --- maybe you know this little kindergarten play ;-) As an old veteran, you will have at least the following items in your equipment box: o tableclothes for the infocounters and tables (in colors that fit to your booths colours) o poster o flyers o nameplates for your booth staff o power extension cords and power multiplier sockets o LAN - network cables (long, short, Crossover) - switches Power and Internet will be provided by LinuxTag and Messe Berlin for the project booths. You don't have to worry about these. However, you'll need to take enough extension cords and power multiplier sockets with you. We cannot provide them in a proper number for all projects. If you use a cable drum for distributing power, please make sure not to connect any computers or monitors to it unless you've pulled off the entire cable. If you plan to present special hardware, like several servers, which will consume very much power, please contact us. Please leave the following things at home: o wireless access points You are not permitted to operate your private wireless LAN. Please take this serious. There will be several site surveys to ensure this. Please read more about networking later on. o coffeemakers, kettles and cooking stuff 4. Exhibitor/Construction Passes If you have not received construction passes yet, we urge you to get in touch with us! Cruising the Area of Messe Berlin for Delivery and Unloading Messe Berlin seems to be nearly a planet of its own. If you arrive there for delivery with your vehicle, use gate 9 only to enter the area, then follow signage to hall 12. For cars it allows you to drive on the area for two hours, lorries have three hours. Arrival at LinuxTag As mentioned above, you can only enter the fairground with a valid 'setup exhibitor pass' or an official 'exhibitor pass'. If you have any trouble finding the right entrance or finding your booth, please call the Project's Office and ask for help. We will announce the official phone numbers during this week. Your project manager should step by at the Project's Office as soon as possible to inform us about your arrival, to pickup the prepared welcome package -including your exhibitor passes and social event tickets- and get the latest news from Marko or Wolfgang. The office is located at the bridge to the ICC. Please notice: Messe Berlin handles this very strict. If you stay longer than 120 minutes with your car within the fairground the deposit will be lost. 7. Construction and Dismantling Wednesday, 30th, LinuxTag will open its doors. There will be a kind of opening ceremony, and most likely some VIP will come for this and visit the fair. We all want to give a good impression, so your booth does need to be ready at this morning! We ask you to set up your booth on Monday, 28th, or Tuesday, 29th. With two whole days (from 7 am to 10 pm) we have enough time to sort things out, and are not in a hurry while visitors come to visit your booth. We all aim and hope for a successful event. However, everybody will be glad after days of hard work at the booth when the exhibition ends. While understanding to start with dismantling to get on the way home, we don't want you to start with this process too early. Please try to put yourself in visitor's shoes - most of them would be surprised, to phrase that cautious, at the fact that everybody starts to tear down their booths while the exhibition hasn't ended. We ask you kindly to keep this in mind. Dismantling of the booth has to wait until 6:00 pm on Saturday, June 2nd. This can be done without hurry on Sunday, 3rd, from 7:00 am to 10:00 pm, too. 8. Parking Space We recommend P3 at 'Hammerskjöldplatz'. More space is at P10. Motor trucks should be driven to P12 (near AVUS). If all fails, there is P14 at the 'Deutschlandhalle'. Again, please see the map from above. 9. Conference Network and Booth Cabling Please be advised to take network cables of different length with you. You will also need some switches for the inner-booth network. We will provide an uplink at each isle or at least at a neighbours booth. These uplinks will are marked with a red flash-symbol in the detailled booth plans. Additionally we will install a single twisted pair cable through the false bottom from the uplink to each point marked with a red cross. Please lay all your cables along your booth's walls and never lay a cable so that a visitor may stumble accross it. Unlike last event, this year LinuxTag is not responsible for the network. It is set up by T-Systems, contractor of Messe Berlin. T-Systems will provide a separate LAN for all projects. This will be a private Class B network, where about half of the IPs are distributed using dhcp with realtively long leasetime (1 day). The other half of the address space will be distributed using peg-dhcp where each booth/project will get at least its own 256 static addresses (see rfc-2322 for further details). There are always some experts, which provide their own dhcp service to all other projects, which results in a big network mess. To be on the sure side, we advice you to use your peg-dhcp address pool for your booth's systems. Please notice: the whole network will be behind a NAT router and some ports (many unencrypted protocols like telnet, pop3, imap or smtp) to the Internet will be blocked. Please use their encrypted pendants (ssh, pop3s, imaps, submission/smtps). If you need a public IP, please contact us immediately and give us a reasonable explanation, why you will need this. Please use the wired network for your booth, because the public wireless LAN will be only available at some points of interest, like the conference hall or the hackcenter. It is not allowed to operate your own wireless network at your booth. In any case we ask you not to connect visitors to the project's network. They can use the wireless network or visit the hackcenter. Please let us recapitulate the three don'ts: o bind a dhcp-server to the project's network (we already have one ;-) o operate a wireless network o connect visitors to the project's network A detailled information sheet with all facts about the network can be found in the project's welcome package. 10. Accommodation Please share hints -for accommodation or in general- by using the LinuxWiki [2]! 11. Tickets for the Social Event When we asked you to order some sponsored and threrfore cheaper tickets for the Social Event (details at LinuxNacht [3]) in advance, we asked you to do this in reasonable amounts. Because we have only a certain and limited amount of reduced tickets at our disposal we have to wait for pre-orders of all interested projects. If we get more orders than we have tickets at hand, we will have to distribute those in a fair manner to you projects. Deadline for pre-ordering sponsored tickets is Thursday, May 24th. 12. Project Lightning Talks A novel feature of this year's conference program is a track called "Project Lightning Talks", PLT for short. This is an opportunity to present your project's exhibited highlights quickly and without much overhead nor lengthy preparation. Each slot is just 15 - 20 minutes and should highlight your most exciting exhibit. The PLTs take place at the open Forum directly between halls 12 and 14.1 and are a excellent way to attract visitors to your booths. We have a total of 14 slots, which are assigned first come, first served. If you are interested in a slot, please send a message to our colleagues of the conference team at vp(a)linuxtag.org including: o a short title of your presentation, o one or two paragraphs of description, o who is presenting (including name, email, and affiliation). The tracks are scheduled o Wednesday, May 30th, 12 - 15 and 16 - 18 o'clock, and o Saturday, June 2nd, 13 - 16 o'clock. We have a small stage, a projector, microphone all prepared. At each side, there is a circular desk, which has its deepest point with 0.5 m. * Infocounter (1 m x 1 m x 0.5 m): The infocounter is a normal sales counter, which may be used for presenting giveaways, merchandising, etc. * Podests (narrow) (1.3 m x 0.5 m x 0.5 m): This podests are a kind of counter, but a little bit higher, so they are ideal for putting an LCD display or laptop on it. * Podests (wide) (1.3 m x 1 m x 0.5 m): This podests are a kind of counter, but a little bit higher, so they are ideal for putting two LCD displays or laptops on it. As we from the project committee talked to every project we were able to contact by phone, we assigned some of this stuff to your booth depending on its size and your provided information in the vCC. Please do not send us mails about what will be at your booth: we will provide you detailled plans until May 10th. Then there will be a short timeslot for discussing your change requests. 3. Posters Please prepare at least one large poster (A1 or A0) to be placed on the walls of your booth or infopoint, so that visitors understand what the booth is all about, or what the particular machine in front of them intends to demonstrate. Without posters or other similar stuff the booth will probably look a bit deserted and not that interesting at all. There are just very few booths which have all four sides open and therefore have no wall to put posters on. This projects will have the Infopoints (see above) at their booth. They should prepare for each side of the infopoint a poster. You can use adhesive tape to fix the posters on the walls. If you plan to demonstrate fancy hardware at your booth, it is very helpful to describe these particular pieces of hardware in a poster or a large sign, so that visitors recognise its value or notice that it is extraordinary. 4. Power and Internet Connectivity Power and Internet will be provided by LinuxTag and Messe Berlin for the project booths. You don't have to worry about these. However, you'll need to take enough extension cords and power multiplier sockets with you. We cannot provide them in a proper number for all projects. If you use a cable drum for distributing power, please make sure not to connect any computers or monitors to it unless you've pulled off the entire cable. If you plan to present special hardware, like several servers, which will consume very much power, please contact us. Please be advised to take long network cables with you. You will also need some switches for the inner-booth network. If you share your booth with other projects, you probably should plan the booth cabling together with them. 5. Setting up and Dismantling Your Booth You can setup your booth the two days before LinuxTag opens its doors. On Monday, May 28th, and Tuesday, May 29th, you setup and decorate your booth from 7 am to 10 pm. The earlier you arrive and begin with this the better for all to solve eventually arising problems here. We hope that the booth basics are ready for you when you arrive. Otherwise, please stand nearby, and make sure to have a guard at your stuff. Because LinuxTag will be opened on Tuesday, May 30th, by some officials there is no way to setup your booth this day, it has to be done before. As usual it is not permitted to start dismantling your booth on Saturday, June 2nd, before the show officially closes. Please do not start packing your equipment befor 6:30 p.m. You also can dismantle your booth on Sunday, May 3rd, from 7 am to 10 pm. To get into the exihibtion halls during setup, we will send you special exhibitor passes, which are only valid for the setup and dismantling time. We will send them to our project contact person. Please update your postal address until Friday, May 4th. 6. Exhibitor Passes The exhibitor passes for project booth members will continue to be free of cost for a reasonable amount of booth personnel. However, they are not meant as a means for regular visitors to save the entrance-fee. Hence, please don't abuse this, and don't add random visitors as booth staff if they don't belong to your booth. For this matter we already sent you some eTickets. You can order the exhibitor passes for each accepted project using the vCC. Please login at the virtual Conference Center and click in the Main menu on "Project" and then in submenu on "Projects". Each accepted project will find a button "Order exhibitor passes". After you ordered the passes, we will have a look at the list and approve them. Otherwise you will get an email from us. The deadline for ordering exhibitor passes is May 21st. 7. Deliveries It is possible to send packaged stuff to LinuxTag independent of your own arrival. However, Messe Berlin is a very large area, and if nobody knows about the packages, these cannot be taken care of properly. Please ensure that they will not be delivered before May 25th, as nobody's there before. Please read the following thoroughly: * At all times parcel post can be send to the parcel service of Messe Berlin which can be ordered using form B3+4 at our exihibitor service sites. Advantages are: it will arrive on schedule, parcel is covered by insurance. * You can send parcel post in little amounts (quantity and size) to us ---that is Messeleitung LinuxTag Projektbüro, please see address later on--- but only May 25th (Friday) or 26th (Saturday). Please keep in mind that via this way parcel will not be insured. Hence, please tell us who sends the packets, who should receive the stuff, and what kind of content is in. The Project Team will act as dispatcher anyway, but can only accept and dispatch stuff properly when the team knows about it. LinuxTag insurance

Hi, starting a new thread for this. I just talked to the insurance brokers - as long as the money is there before LinuxTag, we have no problem getting an insurance. I'd like to send them the insurance declaration on Monday, because they have to send me an invoice before I can send them money. What this means: We are/stuff is insured *as soon* as they have the money. So we need an estimate (better higher than too low) of the stuff we want to insure. First: If you are bringing laptops, monitors, computers - tell me what you bring with you and the value of that. Laptops, monitors and beamers fall into the 1.3% category (insurance sum is 1.3% of the value). Computers fall into the .3% category. So if we have laptops, monitors and beamers worth EUR 10,000, we pay EUR 130,- insurance (plus 19% insurance tax). Problem is: We still have to pay 25% of the damage if one occurs. Second: General liability insurance - do we need that or is everyone attending at the booth privately insured for that? If we need that, it's going to be EUR 82,50 (plus 19% insurance tax) for a week - which seems to be the shortest time range for which it is available. Insurance details: EUR 2,500,000.00 for damages against persons and objects, EUR 50,000.00 for financial losses, EUR 1,500,000.00 for "Umweltbasisdeckung" (probably environmental damages). Accident/casualty insurance has two classes: I EUR 10,000.00 in case of death, 50,000.00 for invalidity II EUR 15,000.00 in case of death, 75,000.00 for invalidity This would be either EUR 6,50/person*week (I) or EUR 10,- (II). This insurance is also valid for travelling to/from LinuxTag (if you travel from within Europe). Third: Discuss whether we need general liability insurance or/and accident insurance. I *NEED* the estimated value of stuff you bring by Sunday evening. Axel: As we are going to insure stuff at the expo - can you ask again for the beamer/pc? And tell us the value of that, so that we can insure it? If you get a no - well, we're overinsured then. Please respond as soon as possible (everyone of you!) and/or tell people who will attend but are not on the list (Tim and Gideon, I think). Hey, there's still a lot of stuff we need to do for LinuxTag (and not enough time to do it) :) a) We absolutely need to know *who* will be there helping at the booth until this weekend - the deadline for getting exhibitor passes is May 21st (Monday). So raise your hands! b) Stuff for the booth: We still have lots of flyers from Fosdem - those aren't really current anymore (not mentioning virtualization), but are okay otherwise. We need Posters - the ones from Fosdem don't really fit into that surrounding. We need to know which hardware we have available. c) Conclusion: Let us have an IRC meeting to discuss all that! So: We are going to meet on Sunday, May 20th, 2007 at 20:00 (CEST - that's 18:00 UTC) in #centos-social on freenode.net. Please do come there if you want to help. We will send you more detailed information about delivery and unloading with the next Infomail. 3. Setting up the Booth Wednesday, 30th, LinuxTag will open its doors. There will be a kind of opening ceremony, and most likely some VIP will come for this and visit the fair. We all want to give a good impression, so your booth does need to be ready at this morning! We ask you to set up your booth on Monday, 28th, or Tuesday, 29th. With two whole days (from 7 am to 10 pm) we have enough time to sort things out, and are not in a hurry while visitors come to visit your booth. 4. Security / Insurance Let us remind you to take care for your stuff at the booths and islands. We try our best to organise a lockable storage room for your hardware and other things which need not to be at the stand. Please give us time to the middle of next week, when we have a meeting with our partners at Messe Berlin. However you can contract insurance for hardware and stuff, including transportation at your own cost, provided by the "Ausstellungsgut-Versicherung". Therefore we have to insist on a special agreement with the projects exhibiting at a booth free of charge: advertising for associated companies is not allowed at project booths sponsored by LinuxTag! It is not allowed to display brochures or price lists or hang-up posters for affiliated companies. Of course you can still present your projects flyers, brochures, DVDs or other promotional material with logos from sponsors. If your company wants to get promoted at your project booth, please encourage it to contact us for information about sponsoring options. Several companies already used this option to advertise at affiliated project booths. If you have any questions, even after reading the FAQ entry, about advertising at your booth feel free to contact us. 6. Application for Sub-Exhibitors While looking at the FAQ... If you plan to host another project at your booth, you need to ask us beforehand. This is usual business at fairs. As long this does not have a commercial background we don't see much problems here. By asking us for permission this project will get known to a wider public, because we require information about this sub-exhibitor to put this on our website, like the other projects, too. 7. Project Workshops / BoFs We still have quite some slots left for workshops. What's up? Is it a 'standing' table, or just a big cube ? Does it need a cover ? It may be nice to have a normal table as well and a few chairs. Ralph, What is your opinion for the booth ? I haven't thought about a design for the booth. Having at least one or two pedestal's would be nice. But a normal table would be useful as well to put some flyers on and to put a big flat panel screen. Also a normal rectangular table allows us to put stuff behind (like a computer or bags).
