I have connections at the University of Cincinnati. How much space are we talking about?

60 people is perfect, and if we can get some level of catering ( or even access to a cafeteria for lunch ) => perfect.

The director of the school of information technology responds:
======= Thanks for reaching out. Yes, the School of Information Technology would love to be part a sponsor and provide the venue. The best time would be during spring break (week of march 17). If not, we can work out something but we will need an advanced notice. For instance, are you looking for something in the summer, next fall, etc.
We can find venues during the school days for a full day event if there is enough advanced planning. Otherwise, during the breaks will be best. =========
March 17 seems really soon - how long does it take to plan these things?

yeh, Mar17 is a bit tight - although we have done these on shorter notice, these days I think we should try and scope 90days as a minimal thing ( unless we can load off the back of another event, last minute )

That seems a little too tight, not even a month to get everything in line.
I believe UC is on semesters, so they should be done in early to mid May, which is coincidentally about 90 days away, so perhaps we can plan for shortly after school is out for the summer in late May/early June?

I just talked with my boss (one of them, anyway). He said CBTS would be willing to help out as a sponsor as well. Buying adult beverages is kind of tough for us to get through, but if we can help with securing the venue or something else, we just need to let him know numbers (I told him 60 for now) and he can start working the Marketing department for some funds.

excellent, we might need someone to spot for Lunch as well - so if that is something you guys can help out with, would be good. For the venue, lets try and get something that does not cost us anything ( university ? )

There's a cafeteria real close to the venue I was thinking of at UC, and restaurants in walking distance across the road from the University. It's a lovely part of town for walking to stuff.
I'll get back in touch with the "Not March, what dates are available" response and check back in next week.

The response is:
Our next break is April 28 to May 12.
The summer semester starts May 12 but it is not as busy as fall and spring, so we can find room any time between April 28 and August 24.

So in this window, what works best for everyone? June-ish?
If you're planning on talking (or delegating someone to present) please list the details in this thread so that we can get the wiki page up and start filling it in.
June should be fine for me. Are we planning on a weekday or weekend? If we can get the date nailed down I can start working the marketing chain inside CBTS to make sure we all have some lunch.
I'm currently working on Foreman/Puppet specifically around Splunk deployments right now, and OpenStack as a second priority. My coworker Eric and I should be able to talk about what we've done in that space. We could also possibly talk about the Open Compute hardware we have in a shipping container.

my impression is that in the US, workday works better - but weekend might be ok as well, if we give people lots of time to plan.

+1 workday. I have seen way better attendance at weekday events in North America than weekend - and some grumbling about it being on a weekend from the folks who *did* turn up on weekend events.

Yes, Eric. I'm sure we'll both be there, either or both of us can give a talk.
As I start the ball rolling on lunch, how many people should we plan for? On Apr 30, 2014 10:51 PM, "Jim Perrin" jperrin@centos.org wrote:

I think we've settled on 4 June.
Running with this date, we need to get the speaker list confirmed, as well as getting the details for registration and wiki content up for promotion.
I believe right now we have:
Who do we have for speakers presently?
Rich, Matt, myself, Joe?
Matt you had mentioned a coworker I believe as well, yes?

Our max is usually 75 people. Anything over that seems to have a negative impact on things. Actual attendance varies by the area and promotion. I'd say we should expect ~40-50 or so.

We're doing a lot with Open Compute hardware, we're doing Hadoop on CentOS (on said OCP hardware). What sounds interesting to people?

Scott Merrill, tentatively Shaun McCance if we want a talk around Open Source documentation (I think that'd be interesting, and docs are *always* under-prioritized...)
Would we rather have a talk on Software Collections, or a talk on Atomic?

I said 60, so it sounds like that's in the right ballpark. I'm sure we can adjust up/down as needed as we get closer.
Joe, are you in Columbus as well? I know Scott from COLUG.

Atomic isnt something people can use at this point, so isnt really a dojo subject - if we can get someone to come talk about a production scl win, that would be great!

Given the integration with foreman, that should be easy to pull off or build from.

I've just heard back from Hazem at UC. It looks like the June 3 or 4 dates would work. He wants to know what kind of a room we require - whether a lecture-style room seating 100 would work or if we're looking for something different. Also, what times we're looking for.
Is there someone that I can loop into this email conversation so that I'm not bouncing everything through the list?

Hello Rich - Thanks for your patience. We have scheduled you in OldChem 527 on Wednesday, June 4 from 10am - 6pm. This room hold 140 ppl. Let me know if you have any questions. Thanks Tiffany Bricking
FYI, we have the wrong location listed on our event page.
-------------------------
I can post it on the Facebook and LinkedIn group pages.
However, the location listed is does not have the room number and it is the wrong building.
The location is Old Chemistry 527. Old Chemistry is the building name and 527 is the room name. Directions to campus can be found here:http://www.uc.edu/visitors/directions_main.html Campus map can be found here:http://www.uc.edu/content/dam/common/docs/maps/campus_map_west_color.pdf

Let me know the final count of people. I need to give La Rosa's 24 hours notice, so I'll need to order by Tuesday AM at the latest.

Currently sits at 29, but doesn't include all speakers. Attendance usually isn't 100%, so I'd say we're looking at 25-30 people max.
I know KB sent a note to the announce list today, so maybe we'll see a last-minute spike. Will send final count this evening.
Best,

Sounds good, thanks!

We're at 31 at the moment, which doesn't include all the speakers - so I'd call it 30, planning for some attrition to attendance.
