Hello Everybody,
I've got a request and information e-mail from FrOSCon. I also included the German original text (see below).
- I need a complete List of everybody from CentOS taking part in FrOSCon. So please tell me: * Your full name * A way for me to contact you * Whether you're already registered as speaker or helper. * If you want to stay at Hotel Regina or my apartment
- We need to decide when we so the setup (Friday or Saturday)
- We need to decide wheter we want an internal meeting
- We need to decide what to announce in CentOS-de. Either a "call for visitors" or a "call for helpers". I guess Ralph is able to decide that, because he is quite active there...
Please note: we must not teardown the booth before 18:00 on Sunday
All decisions should be done until August 1st, because we have to inform FrOSCon in time. The detailed planning can, of course, be done afterwards.
Concerning the internal meeting, I think at least Dag and me agreed that it is not a good idea to do things like that during an event. However, we still can do them in the evening (see http://tinyurl.com/6ej3ea). When we decide to do such a meeting and we know how many people will take part, I'll try to find a place that can fulfill our/my requirements.
As we should probably write all this down in the Wiki: Could somebody please give me write-access to /Events/FrOSCon2008?
The longer version (please read this if you're willing to take part and can spare the time): 1. Accomodation 2. Catering 3. Exhibitor ID-Cards 4. Setup and Teardown of the Booth 5. Linking to FrOSCon.de and FrOSCon.org 6. Social Event
1. Accomodation It is possible to Stay in Hotel Regina. The rooms can be booked through FrOSCon (just ask me). Rates for bed and breakfast: 30 € per night for your own room 20 € per night for room shared with somebody These prices only apply for Friday and Saturday and have to be payed in cash at FrOSCon. On Friday the hotel offers food from 20:30 till 23:30. If anyone is interested, just tell me.
The Debianforum also has a quite cheap camping ground near FrOSCon. If anyone is interested I'll have a look
After all, I can offer my apartment for a few people (if there are more than two people, rooms must be shared). This year we even have a shower, a kitchen and free WiFi :) So I can provide food, accomodation and internet access at no cost.
2. Catering For all exhibitors, speakers and helpers there's a buffet on Saturday and Sunday from 09:30 to 17:00 and there's lunch from 11:00 to 13:00 on both days. There are also free drinks. However, as the food they must not be taken out of the catering area. For everyone wanting food and drink at the booth, there is a "bar" where drinks can be purchased.
3. Exhibitor ID-Cards Every Exhibitor needs an ID-Card. For these I need the Full Name and a way to contact you (i.e. mail-address and/or phone number). Last year there were issues with people who were not not on the list (like me). This year everybody not on the list will have to pay the entry fee and will not be able to access the catering-area. The FrOSCon Deadline is August 7th.
Please note that people who are already speakers do *not* need these Cards. Also we were told not to order too many cards, because every cards has additional cost attached for FrOSCon (e.g. catering).
4. Setup and Teardown Setup can be done on Friday from 12:00 to 23:00. I guess we'll have to discuss if and when we want to do the setup. Othwise we can do the setup on Saturday morning.
Teardown of the booth must not be done before 18:00 on Sunday. FrOSCon sais it was displeasing that so many projects teared down their boothes quite early. So they require us to stay until 18:00 or we won't get a booth next year.
5. Linking to FrOSCon.de and FrOSCon.org We're asked to check the links and texts on http://www.froscon.de/projekte.html (and the english page). We should also try to describe what we're going to do or show at FrOSCon.
6. Social Event Of course there's a social event on Saturday evening.
Mail from FrOSCon: Liebe Aussteller,

I will only come on saturday morning (like last year) since I am returning from Argentina on thursday/friday.
- We need to decide wheter we want an internal meeting
My opinion is that conferences are not a good location to have an internal meeting. We have to man the booth and give presentations, so some people will be left out. If we want to do internal meetings in real life, we should book a weekend somewhere in Europe and get people together dedicated.
- We need to decide what to announce in CentOS-de. Either a "call for

I would do both. Although I think we will already be with plenty of people at the booth, more people will allow people to also attend talks.

I was planning on coming to FrOSCon but I will be moving to our new house in that period. So I won't be able to make it this year. I'll try to be there for next year.

Dear Tim.
I would like to offer my help on FrOSCon (as it's really nearby from here) and be part of the CentOS booth. Is anyone else visiting FrOSCon?
Best Regards Marcus

Marcus,
If you give me your wiki login I can give you write access on the FrOSCon page. So you can add yourself and help with the organisational stuff.
http://wiki.centos.org/Events/FrOSCon2008
For the booth at LinuxTag we had:
- dedicated laptop+TFT screen for showing CentOS information to visitors (dag) - dedicated laptop for demoing CentOS (ralph) - posters, flyers and business cards (dag) - CentOS DVD and LiveCD media (tim) to burn on-the-fly
We also have German and English slides to show at the booth (for the idle systems) and python script to show off compiz that definitely could use some improvements. (I will add the latest material to the wiki this evening)
My experience is that both at FrOSCon and LinuxTag it mostly has German attendees and therefor should have sufficient German-talking people. So your help is gratefully accepted ;-)
Thanks,

My wiki account is MarcusMoeller. But my first question is: because Tim does not take part does not mean that the booth on FrOSCon is canceled?!

I could also provide a Desktop PC and a TFT for presentation. Maybe I can prepare some cool CentOS stickers.

No, we only commit to a booth if we are certain we can keep it open (usually that means 2 or 3 persons guarantee to be present). If only one person commits to a booth, he needs to be there _all_ the time and that is practically impossible (depending on the kind of event).
You have write-access so you can add yourself and any ideas you have :-)

That would be really nice. I would like to have 2 kinds of stickers:
- stickers to put on the back of your laptop to promote CentOS
- small stickers to put below your keyboard to replace the Windows, Intel or Nvidia sticker. (CentOS Inside)
However it is very important that for these stickers they do not damage the property. So it depends on the adhessive used.
We do have a small budget (from media donations) that we can spend on this. If we want to go for a larger amount to drop the costs we have to ask the CentOS project for a budget. I would prefer the second option.
For the design I think we need to do some sort of contest and then let people decide what they prefer.
Also, I would not just give stickers away because people than take them. What we really should do is give a sticker only to people that can proof they are already running CentOS and/or if they put it on a computer in our presence.
And if they want more than one, we can ask for a donation to cover our expenses. I think that would work quite well and introduce funny scenes at the booth.

Okay. I could definitly take part. It would be great if someone else could spend some time at the booth.
I could also provide a Desktop PC and a TFT for presentation. Maybe I can prepare some cool CentOS stickers.

I am going to work on these kind of stickers first. I think they should only show the CentOS logo and maybe the CentOS font. I will try out what looks best.
- small stickers to put below your keyboard to replace the Windows, Intel
or Nvidia sticker. (CentOS Inside)
These are special kind of stickers. Most case badges have a kind of metallic effect. I am going to ask a friend of mine who is preparing Ubuntu case stickers ( https://wiki.ubuntu.com/MassachusettsTeam/Projects/AluminiumCaseBadges?actio...) and ask him if he could help us out.
However it is very important that for these stickers they do not damage the property. So it depends on the adhessive used.
We do have a small budget (from media donations) that we can spend on this. If we want to go for a larger amount to drop the costs we have to ask the CentOS project for a budget. I would prefer the second option.
I am going to sponser the first set of 'large' stickers.
Also, I would not just give stickers away because people than take them. What we really should do is give a sticker only to people that can proof they are already running CentOS and/or if they put it on a computer in our presence.

This could be an option, put I would suggest to give them away for about 0,50 EUR. That's what KDE did last year, too.
Best Regards Marcus

Of course, did you look at the wiki page ?
There are already 3 people for the booth, with you that makes 4.

A slogan or something that catches the eye would be good. But a contest is probably best to have at least some choice between designs. If it can be funny, witty, attractive and cool, then maybe even non-CentOS users are interested to get one.
- small stickers to put below your keyboard to replace the Windows, Intel
or Nvidia sticker. (CentOS Inside)

We have had case stickers. But case stickers are usually quite thick, square and do not match the stickers that are on laptops by default. I don't care about case stickers, laptop stickers get more exposure than case stickers.
However it is very important that for these stickers they do not damage the property. So it depends on the adhessive used.

If you make a price you are selling them and that is what we explicitely do not want to do. At some conferences you cannot sell and it is better to have people think about the value to them and think about sponsoring.
So asking for a donation to cover the costs usually is nicer.

I usually try to spend as much time as possible at the booth and my girlfriend is usually willing to help out as good as she can.

A demo system never hurts. And I think every kind of giveaway is always a good thing.
I could also provide a system - however, I still don't have a TFT and I would rather not carry one of my CRTs around.
Good Evening.
A demo system never hurts. And I think every kind of giveaway is always a good thing.
I am currently preparing the first set of 5x5 cm rub-on transfer stickers for FrOSCon which will just be an outlined CentOS logo.
I will provide 10 stickers of this kind:
http://fedora.nicubunu.ro/centos/logo/centos_fancy.svg
and another 10 using the classic CentOS logo.
I could also provide a system - however, I still don't have a TFT and I would rather not carry one of my CRTs around.
I will bring my Dell Dimension 5100 which got a ATI Graphic Card and could be prepared for Compiz presentation (where do I find the demo script?)
